As the Office Manager, you will play a crucial role in ensuring the smooth day-to-day operations of our office.
This multifaceted position involves managing administrative tasks, overseeing office logistics, and contributing to a positive workplace culture.
The ideal candidate will be highly organized, possess excellent communication skills, thrive in a fast-paced environment, and have a knack for creating an inviting workspace.
Responsibilities:
1.
Office Administration:
o Coordinate and oversee daily office activities, including mail distribution, supply management, and ordering stock from vendors.
o Implement and maintain efficient office systems and procedures while maintaining and organizing office records.
o Supporting the coordination of events or meetings held within the organization.
o Assisting with room set-up, catering arrangements, and other logistics.
2.
Social Media Management:
o Monitor social media trends, respond to comments, and conduct social media outreach for community engagement.
o Collaborate with marketing and communication teams to align social media efforts with overall marketing strategies.
3.
Employee Kits & Student Kits:
o Develop and assemble comprehensive employee kits that include necessary materials, resources, and company information.
o Coordinate the timely distribution of employee kits to new hires.
o Develop and assemble student kits that include necessary materials, resources, and company information for when our students pass their course.
4.
Facilities Management:
o Collaborate with facilities management to ensure a clean, safe, and organized office environment.
This includes, coordinating maintenance and repairs.
o Coordinating IT support for office equipment and systems.
o Managing office supplies and equipment.
o Address any maintenance or operational issues promptly.
5.
Office Decoration:
o Infuse creativity into the office space by contributing ideas and helping decorate the workspace.
o Collaborate with team members to create an aesthetically pleasing and inspiring work environment.
6.
Communication:
o Serve as a point of contact for internal and external communications.
o Disseminate important information to the team and facilitate effective communication channels.
o Performing basic administrative tasks such as data entry, filing, and photocopying.
o Assisting with the preparation of documents and reports.
Qualifications:
Proven experience in office management or a related role.
Strong organizational and multitasking skills.
Excellent communication and interpersonal abilities.
Proficiency in office software and applications.
Ability to work independently and collaboratively in a team environment.
Must have reliable transportation.
